SHARE MY TIME- FOR ALL REGISTRED ONTIME USERS

Share My Time is included in the licenses for all registered OnTime Group users and therefore you can start using it right after upgrading to version 11 og OnTime group calendar.

Share My Time allows users to grant external parties access to your calendar, allowing them to view your availability and schedule meetings with you without having to see your actual schedule. Eliminating the need for endless back-and-forth emails when trying to find a suitable meeting time. 
 
Step 1: customise and distribute the link

  •  Tailor your link to suit your preferences. Set parameters such as minimum lead time or rolling days.
  •  Distribute the link through your website, direct messages, email footer, and more—the possibilities are limitless

Step 2: Recipient chooses a time 

  • The recipient of the link can then view your availability and select their preferred meeting time from the options you have provided.

Step 3: Meeting confirmed

  • You have the flexibility to customize your booking link to accept bookings either manually or automatically. 
  • Once you accept the meeting is confirmed, and your recipient receives a confirmation email to ensure a seamless experience for all parties involved.

IMPROVEMENTS

ONTIME DESKTOP

  • Domino Standard login has been added as login method in addition to the OnTime methods already in existence.
  • Added new visible for feature to allow the admin to control which users will have "Pollarity" and "Share My Time" available in their user interface.
  • A new feature allows you to copy the attendees’ emails from a meeting and create an email for them. This feature is found under "Copy to new" and then select Email w. Attendees.
  • Added new visible for feature to allow the admin to control which users will have "Pollarity" and "Share My Time" available in their user interface.
  • Improved the filter for time zone selection. Example search for Europe, and it will provide a list of all time zones in Europe.
  • MS Teams meetings can now be added to repeated meetings.
  • New global shortcut "Alt + T" will bring current date in focus.
  • New Submenu on the gear icon in the upper right corner includes Settings, Logout and About.
  • OnTime Verse integration has been updated to use Verse release 3 colours.
  • The indicator for number of photos available in the Detail Viewer now only shows a number if more than one photo is available.
  • The legend area now has wide colour bars which makes it easier to compare with the colours in the viewer.
  • The MS Teams meeting details have been added to the body / description field for the host / chair.
  • Internet Explorer (IE) 11 desktop application ended support for newer operating systems on June 15, 2022. In response we have removed support for IE 11 in OnTime Group Calendar.

  1. The left navigation area has been uncluttered by a major redesign and the left navigation rail has been redesigned. Now when selecting for example groups, you have a much larger area to display and focus on your work with the groups. Additionally, we've introduced a new multi-date picker that enables you to effortlessly view your calendar several months ahead as well as a "today" button that takes you back to the current date, no matter where you are in the calendar.
  2. We have simplified and updated the overall design and made it possible to zoom in on days, making it easier to focus on today's tasks.
  3. It is now also possible to custom brand your calendar with logo and colour.

New 12 month calendar makes navigating event easier.

Branding makes it possible to control the background, text and border colour of the top navigation bar and further allows you to add a custom logo. You can control this for internal use which covers the Desktop client and for the external facing clients Pollarity and Share My Time. For the external facing client you can also add up to five links for the users from the branding area. Branding can either be controlled from "Global Settings" at the organisational level or from each configuration of "Default Settings".

ONTIME POLLARITY

  • New Pin code option for Pollarity allow the organisation or the individual user to require that a pin code is added to the individual poll. This pin code is controlled from global settings. Without this pin code for the poll, external users will not be able to vote.
  • Internet Explorer (IE) 11 desktop application ended support for newer operating systems on June 15, 2022. In response we have removed support for IE 11 in OnTime Group Calendar.

ONTIME MOBILE

  • New Pin code option for Pollarity allow the organisation or the individual user to require that a pin code is added to the individual poll. This pin code is controlled from global settings. Without this pin code for the poll, external users will not be able to vote.

  • Capacity for Microsoft Exchange Rooms can now be configured in the User document for the individual room.
  • Domino Standard login has been added as login method in addition to the OnTime methods already in existence.
  • New Global option for MS Teams meetings to allow booking on behalf of others and adding a MS Teams meeting on behalf of the actual host.
  • New pin code option for Pollarity allow the organisation or the individual user to require that a pin code is added to the individual poll. This new pin code is controlled from global settings. Without this pin code for the poll, external users will not be able to vote.
  • The Pollarity tab has been renamed to Find Time. Find Time now covers both Pollarity and the new Share My Time feature in version 11.

  • Repeated events that end on a specific date now works correctly if sent to MS Exchange (Outlook) users. In previous versions outlook would consider them as never ending repeat sets.

  • Show Invitees status did not have a icon for tentative accept.
  • Fixed a situation where Invitee Status was not displayed correctly for repeated events.

ONTIME MAIN SERVLET

  • Implemented a check for commas (",") in role names. Commas are not allowed.

  • Fixed an error where an upgrade using the Installer would fail if the Client db was not named client.nsf

ONTIME HYBRID

  • Due to unacceptable performance the option to use MS Graph for for the "Domain Type" has been removed. We will actively be following up on improvements from Microsoft as they become availble.

ONTIME INSTALLER

  • Fixed a regression introduced in 10.0.2 where the installer wizard was unable to find and open the ntf files during the install unless the operating system was Japanese.

  • Accept / Decline invitations for other persons from the group view.
  • Added ability for MS Users in hybrid to Accept / decline invitations.
  • Added ability to Mark Available when accepting an invitation.
  • Now possible to repeat a shared desk booking
  • Only support long user id's when getting images. In previous versions a user / hacker could by enumerating the URL get the photos of all registered users.
  • The scheduler introduced in version 8.3.0 has new features based on customer feedback.

ONTIME UFT - LOOKING UP FREE / BUSY INFORMATION FROM OFFICE 365 AND EXCHANGE FROM DOMINO.

  • When searching for invitees, the search now includes usernames from the Forward address and not only the Internet address in the Directory. 

ONTIME CONFIG

  • The OnTimeUFT task is no longer installed by default as the functionality conflicts with functionality in Domino 12.0.2 "Danube".

 ONTIME INSTALLER

  • The OnTime Installer is a new quick install wizard which gets you started with a new OnTime installation in a few easy steps.

BUG FIXES

In addition to the specific issues mentioned below, we have fixed some minor stability issues.

ONTIME DESKTOP

  • Fixed an issue where if the approver of an Out of Office request was in a different time zone from the requester, the date would be wrong. 
  • Fixed an issue where it was possible to add an online meeting to an Appointment and to an All Day event.
  • Fixed an issue where the response from attendees were not correctly reflected in the response table.
  • Fixed an issue where when a MS User, double clicked on the calendar, a new calendar item was not opened. 

ONTIME MOBILE

  • Fixed an issue where if the approver of an Out of Office request was in a different time zone from the requester, the date would be wrong.

  • Fixed an issue where the catering administrators names were case sensitive.

  • WebEx online meeting returned an error when there was no subject for the meeting - now it adds "(no subject)" to the WebEx meeting
  • Zoom online meeting Meeting id was not in the mail send to invitees, when using the option Automatic Generated
  • For a Microsoft Exchange user in hybryd, double clicking on a calendar did not create a new Calendar item
  • When creating a calendar entry with repeated dates, the dates were only uptated on the actual entry when saving.

ONTIME MOBILE

  • Botton section in the bottom of the mobile was misaligned if not all options (Polls / Out of Office) were active.

ONTIME BACKEND

  • WebEx online meeting returned an error when there was no subject for the meeting - now it adds "(no subject)" to the WebEx meeting.
  • Zoom online meeting Meeting id was not in the mail send to invitees, when using the option Automatic Generated.
  • Fixed an issue introduced in 8.3 for reading groups from MS Exchange. The bug was introduced when switching from using EWS to Graph and meant that only the first 100 groups were would be read.

  • The divider between multiple days has been made easier to visible in the calendar view.

  • Template filenames have been aligned on all templates for ease of use and understanding and the default files names in the server settings were updated accordingly.
  • New Exchange Server Verify button has been added.
  • Information about Exchange servers in the server view has been improved in several areas.
  • Added support for the upcoming add-on "Room Display".
  • When migrating users from Domino mail to Exchange mail, you may add a ‘Domino Domain’ to migrate. The OnTime synchronization will change to the new Exchange

  • There was an error when creating Teams meetings with participants if the default setting "UseHTMLEditor" was set to false.
  • Fixed an issue where mail massages missing most of calendar entry information was sent to the calendar owner if another user updated the users calendar.

ONTIME DESKTOP

  • Fixed an error which could occur if logging out of OnTime in Verse.
  • Fixed an error which would occur if a user tried to open a poll blocker for another person.
  • Fixed an issue for Online Meetings where the invitees in some cases would get an incorrect link.
  • Fixed an issue that could occur when removing an online meeting from a meeting.
  • Fixed an issue where invitees for Webex meetings would not receive the meeting link in the description field.
  • Fixed an issue where not all users were not shown in the view after clearing a selection.
  • Fixed an issue where not all users were not shown in the view after clearing a selection.
  • Fixed an issue where the order total was missing on confirmation mails for new orders.
  • Fixed and issue which would cause an explosion if pasting 2 non existing Domino formatted addresses into Pollarity.
  • Online links in the description field are now working correctly in Edit mode.
  • The actions "Show Selected" and "Clear Selection" now clears any entered search text.
  • Fixed an issue where Zoom meeting attendees gets the hosts start URL if meeting has been updated.
  • Fixed an issue where Zoom meetings would lose settings when a meeting had been updated.

ONTIME MOBILE

  • Fixed an issue where the create Poll action was available even if Pollarity add-on was not licensed.
  • Fixed an issue where it was not obvious that all external participants had to have information about both name and email to be able to save it.
  • Improved handling of Selected Users when selecting the actions for Pollarity, Out of Office and Search
  • It is now possible to show all "attached" user images when clicking the avatar in the Business Card.
  • The "Done" action in upper right corner is now calculated for every keystroke.
  • To prevent overload of the mobile UI groups with more than 500 people have been disabled.

ONTIME POLLARITY

  • Fixed a text positioning issue for Pollarity Desktop External voting which could happen if a custom logo had been applied.
  • Fixed an issue where internal Pollarity users would be directed to the external voting page instead of the OnTime desktop for voting.

ONTIME CONNECTIONS

  • Fixed a bug where loading the OnTime Profiles widget would fail for users not in OnTime.

IMPROVEMENTS

ONTIME DESKTOP

  • Combined Rooms. Combined Rooms are logical entities that allow the user to search for the availability of a predefined set of rooms. The capacity for the combined room can be configured from the Config database.
  • Copy to new previously required that you had Editor access to the calendar. You can now use this function even if you only have Reader access to the calendar. Further copy to new now also works for appointments and not just meetings.
  • Fixed an issue where the number of days in Out of Office was not shown correctly.
  • If a user attaches a 0-byte file this is now silently ignored instead of potentially causing an issue.
  • Three custom fields in have been added for Business Card Data, User Document, and the Name Format.

ONTIME MOBILE

  • The layout and user friendliness of the OnTime Mobile has received a major overhaul in version 8.1. Some of the new main features are presented in the screenshots below and includes:
  • A menu has been added in the button to make it much easier to switch between the different modes:
    • Home
    • Polls
    • New (+). Events, polls, mails, and Shared Desk bookings
    • Out of Office
    • Search
  • The date and time picker has been modernised and made much easier to use from a touch device.
  • The design now better supports the never iPhone / iPads with more space in the bottom of the screen.
  • A select icon has been added to supplement using long press when selecting people, rooms, and resources.
  • "Help" has been added to the Main Menu which will launch OnTime Mobile YouTube videos.
  • Show all "attached" user images when click avatar in Business Card.

  • The business card supports the three new Custom fields

Mobile_81_General_UI Release Notes - OnTime for Domino

The meeting polls add-on OnTime Pollarity is now a full citizen in the mobile client. This allows the user to create and maintain polls when you are on the go.

Out of Office was introduced in version 8.0. The design and the functionality have been aligned with all the improvements described above.

ONTIME CATERING

  • The top bar now includes a question mark which will launch a YouTube Help video.

  • The EmployeeID can now be added to display name and therefore be included in print.
  • Three custom fields in have been added for Business Card Data, User Document, and the Name Format.

  •  Correctly handle errors during Directory Display Group processing and skipping specific groups instead of exiting the process as such.

 

BUG FIXES

In addition to the specific issues mentioned below, we have fixed some minor stability issues.

ONTIME DESKTOP

  • Fixed an issue where ApplicationID was not added for the user was not added for first time login for mail-based authentication.
  • Fixed an issue where if accepting an invitation twice the host would receive an accept first and then a decline.
  • Fixed an issue where Out of Office was missing in the single person view until the view was refreshed.
  • Fixed an issue where rescheduling an event which included a Notes Online Meeting would fail with an error if the meeting was originally created using the Notes client.
  • Fixed issues that related to custom email language settings for polls. The issues included incorrect notifications and mails.
  • Fixed several minor issues for Out of Office including some translations.
  • Fixing an issue where the photo avatar was missing the photo for Shared Desks when searching.
  • Fixed an issue in print where weekends were included even when not selected in the view.

ONTIME MOBILE

  • Language in Settings was missing in some languages.

ONTIME POLLARITY

  • It is now possible to switch between All and comments only for Pollarity External voting in Mobile format.

ONTIME CATERING

  • Fixed an issue where print would be generated correctly.
  • Fixed several issues where when translated texts become too lengthy to fit the defined print format.

ONTIME SERVLET

  • Fixed a concurrency issue that could occur if the admin process was running at same time as the servlet loaded.
  • Fixed a rare situation where deletion of temporary attachments would result in Excessive CPU utilisation / infinite loop at 100% on the Domino server.
  • Fixed an edge case in the fix images process during start-up.
  • Fixed an issue that prevented Zoom to authenticate due to API change from Zoom.
  • Handling if Data database is not able to open (performing consistency check) - System will wait and try reloading later.

ONTIME CONFIG

  • Fixed an issue where ApplicationID was not added for the user was not added for first time login for mail-based authentication.

ONTIME BACKEND

  • Now correctly updates the EmployeeID from the Domino directory when the source is not another database.

  • Custom Fields on Room/Resource only booking was hidden when opening an existing entry where the custom field data was blank.
  • Fixed an error that would be thrown if scheduling a meeting and selecting a room for which the user had inadequate rights to book.
  • If using zoom link in body field the Zoom meeting is now always opened in a new tab.
  • The Custom Fields setting "Use In" was not working. Users would see custom fields regardless of this setting.
  • PDF Print now read fonts from the directory where they are extracted to (the directory of the servlet file), and not as before where the Config database was located.
  • Swedish language support is now available again.

  • Users ("randomly") removed from Private groups. This occurred when a user had been removed and the 7 days grace / soft delete period expired then other users could erroneously be removed as well.
  • PDF Print now read fonts from the directory where they are extracted to (the directory of the servlet file), and not as before where the Config database was located.
  • Fixed an issue which could result in "Error: Invalid PhotoKey <C>" during run of Servlet - Images.
  • License key updates are now auto updated (every minute) in the Servlet. Updating the license key no longer requires the user to restart the servlet.

  • Webex online meetings added to the ability dynamically create native online meetings in either Microsoft Teams or Zoom which was introduced in version 7.8. This feature is included in the license for all OnTime customers with current maintenance. The only prerequisite is your licensing of either MS Teams, Zoom or Webex. Meeting will be created from OnTime Desktop in Domino and will therefore be available from Notes, Verse or even iNotes. All versions of Notes, Verse or iNotes are supported. If you have not licensed all your OnTime users for Zoom, Webex or MS Teams you can control which users should see this new option.
  • The "Online Meeting" select box height is now set to 7.75 times the higth of a line. This way it is allows an overview of more meeting options and it is also easier to see that you can scroll for more meetings.

    Except for the OnTime Calendar Users the OnTime can administrate whether the other directory sources should be available to the user. Number of search results per search source can also be defined from the OnTime Global Settings.

    Searching by email address as an alternative to the name is now also supported. If they are available and the users does not want to use these additional sources, they can be deselected from the UI of Desktop client.

  • Top Panel: Added view settings on panel instead of in the in the dropdown menu.

ONTIME MOBILE

  • The mobile has been aligned with the desktop to allow for login validation by either password or by clicking an email link. 

ONTIME CONFIG DB

  • A new Email setting on Custom Directory, to specify what field contains the Email address which can now be used in searches for invitees.
  • Connections settings have been added to the External Access Server configuration
  • New Web setting to choose login options for Desktop and Mobile. Options are validation by either password or by clicking an email link.
  • OnTime Group Calendar passed "smoke" test on Notes / Domino 12 - Build 2.  To open the OnTime Config database you must have an HCL Notes client version 10 or higher. This requirement is only for the administrator.
  • Role settings from template now has Exchange users set to "View schedule information" set to all.
  • Connections settings have been added to the External Access Server configuration

ONTIME EXCHANGE SERVLET

  • Private / Shared groups are now preserved during move of users from Domino to Exchange.
    Update Calendar Stats in Data database for Exchange users which previously only included data for Domino users.

 

BUG FIXES

In addition to the specific issues mentioned below, we have fixed some minor stability issues

ONTIME DESKTOP

  • An attachment with a space in the filename had the space converted to "+" when downloaded.
  • Events calculated to be set to private via 'Show as Private' in Global Settings showed data that should have been protected.
  • Events on the business card event list did not start on the day selected in the date picker.
  • List Search preset showed wrong save box.
  • On creation of new entry or updating an existing entry, selected categories were not sent correctly to Exchange, and thereby they were "lost"
  • Verse switch between "tabs" sometimes opened wrong url.
  • When working hours were changed from the OnTime client this was not updated in the users mail file. 

CONNECTIONS

  • If email address in Domino Directory and the email address from Connections had different casing, then the user was not shown in OnTime, when switching from the widget to full screen

ONTIME EXCHANGE SERVLET

  • Did not run a daily 24 hours sync for Exchange based users (users was not sync within 24 hours)
  • Domino to Exchange user migration did not clear all fields used in Domino but not relevant for Exchange (MailReplicaID, ForwardAddress, AltFullName, TeamCalendars, SkipReplicaIDLookup, iNotesUrl)
  • Ensured that OnTime does not create a new user, when an email is not found in the config even though the "fullname" from the Domino directory nab is found (email address changes during migration) 

ONTIME CONFIG DB

  • Fixed a spelling mistake in the Verse applications.json file.
  • Fixed an error where the Broadcast process would delete a locally imported holiday calendar for a user.
  • Fixed an error which prevented the servlet to be installed on Linux.
  • Verse applications.json file missing a closing bracket "}" which affected running OnTime on another server than the mail server. 
  • Added validation of Profile workhours times to ensure valid data in OnTime.

ONTIME MAIN SERVLET

  • A negative value for duration in workhours corrupted OnTime's presentation of availability.
  • Fix an issue which would occur if one (or more) of the users workhour settings were blank.
  • Fixed an issue where the Room/Resource blocker information was not updated in OnTime.
  • Pollarity: Clean up of obsolete Emails are now working again, plus added as option to define interval to preserve.

ONTIME ADMIN PROCESS

  • Group members for deleted (changed) users are preserved for 5 days. This allows an Exchange admin to properly migrate group members after a migration to Exchange from Domino.

  • The top navigation bar has been redesigned and uncluttered. There is now a simple dropdown to switch between days/weeks /Time Off and List. A slider now determines the number of days or weeks displayed. Also, shortcuts have been added for ease of navigation (alt+1) and so forth.

  • The settings area has been redesigned for clarity and improved useability. New options to define Startup View/Group. Options include View or Group by name or the last selected/used View/Group
  • It is now possible for an organisation to apply their choice of colours to the top navigation bar. This is particularly relevant if you for example integrate OnTime in a portal or something similar.
  • In version 7.5 we added the new List View feature which allows users to search lists based on different criteria. We are now adding "Preset Searches". This allows users to save useful sets of predefined searches

  • Polls now show an update notification if there are updates to a poll the user is a member of. The actual update will be in the Stream area. The Notification will be visible by number in the icon bar to the left and by a red dot in the list of polls

  • The OOO (Out Of Office) status for each user has been added to the business card.
  • Added a new option to control the Avatar background colour. Each user will get an automatically calculated colour on their avatar if they do not have a photo in OnTime
  • A new image viewer has been added to the user page.
  • Date picker now has infinite scroll only limited by sync interval when the left navigation bar is collapsed.

  • Fixed an issue where categories were missing

BUG FIXES

  • Fixed an issue where an All Day event would become a two-day event if moved
  • Fixed an issue where just changing the dates of an All Day event created in another timezone, would change the start and end time
  • Fixed an issue where refreshing the person view mode, made it "jump" to today - instead of just refreshing
  • My Notices and meeting polls disappeared when using single person view
  • When searching for either users or calendar entries the search term was lost if the selected date/view was changed

  • Showing of initials is now aligned to always follow the display setting for First Name / Last Name in the widgets

  • Fixed an issue where ACL fields from Domino were not removed when a user was migrated from Domino to Exchange.

  • Fixed an issue where the ACL info was hidden / not updated for Mail-in db
  • Fixed an issue where the "External Access Server" document erroneously had some hide when formulas for the legacy Exchange license

OnTime Universal Free Time aims at making it easy to schedule and book meetings with people within your organisation and companies your organisation works closely with, across the boundaries of Domino, Exchange and Office 365. Universal Free Time displays people’s availabilities and can be used as a part of Notes, Verse or in a web browser.

Universal Free Time makes it possible for your organisation to share a calendar overview with people, groups or companies, that shows when the user is busy, without letting them know the details of what the events in the calendar are.   • Fixed an issue where draft entries were erroneously displayed in the OnTime Desktop.

  • Fixed an issue in the admin servlet which resulted in an error when deleting placeholder documents for Exchange users in Hybrid.

ONTIME WEB DESKTOP

  • HTML editor. We have added a new HTML editor which lets the user edit the description/body field of an entry. In previous versions of OnTime it has been possible to include an unformatted text description at the time of creation of the entry. In 6.1 it is now possible to create a rich text, formatted version of the description field. The field can include images and files can be attached.
  • It is now possible to move meetings between different hosts if there are no invitees.
  • Combo date selection boxes now include weekday when a date is selected in a popup.

ONTIME API

  • Improved the security model of the access token by further encryption.

IMPROVEMENTS

Version 6.0 of OnTime for IBM Domino is fully supported on IBM Domino 10. All Backend Domino databases have undergone a design realignment to look more like the Web Desktop client for a consistent experience.  

ONTIME WEB DESKTOP

  • Made it possible to let sorting in views be based on type i.e. Person, Room, Resource, Team Calendar. This is configured from user settings. Please be aware that you need to save the user settings documents for this to take effect.
  • Support for displaying checked overlay calendars from the Notes client
  • Support for IBM Domino Team Calendars as individual rows shown in the group calendar. This new feature also allows you to invite from the selected Domino Team Calendar
  • Print in the Desktop. This feature is new and allows the user to print to PDF. The PDF can then either be mailed or physically printed.
  • Search has been refined. The new search which allows the user to search for People / Rooms or Resources (All / Name / Title / Company / Location / Department) or search for calendar entries (All / Subject / Location / Category / Attendees (email) / Chairperson)
  • For Exchange users who have been added to the OnTime calendar, it is now possible to create meetings from the OnTime Desktop interface.  The meetings can include a mix of Domino and Exchange users and rooms. Exchange users can create and cancel/delete meetings. Domino users can do all of the above and in addition, they can edit the meetings. If a reservation of an Exchange room is changed from another interface than OnTime the time slot will not be in sync. 
  • To make navigation easier we have added icons to the action menus
  • When dragging on other users to create to a meeting the active users have always become chair of the meeting. We have now added an option so that if you hold ALT down while dragging the user you are dragging on will become the chair.
  • If Calendar for is left blank we now automatically add the active user to this field

ONTIME POLLARITY

  • Updated default settings to be,  placeholder documents = enabled, Mark Available = Yes, Hidden for other users in OnTime

ONTIME OPEN API

  • Added ability to create an API user from the configuration database of OnTime. This eliminates the process of logging in to Domino to get an LTPA token, which in turn can be used to request an OnTime token. The OnTime API User token is provided to the developer at the time of creating the API user. The expiry of the OnTime API User token is defined at the time of creation of the Token and can be renewed manually.
  • It is now possible to log out when started inside Notes

ONTIME WEB MOBILE

  • Show participant status for Exchange users on mobile devices in hybrid mode

ONTIME CONFIG

  • It is now possible to request synchronisation  of Exchange users from the users' view
  • To avoid shared private groups becoming orphans when a user leaves the organisation, a change has been made which allows all members of a group to edit if the last owner has left the organisation.
  • Install/Update servlets has been merged into one action
  • To further increase security we have added a validation of identity for servlet commends

ONTIME SERVER TASK

  • For quite a few years the OnTime Groups Calendar task responsible for synchronizing updates between the users mail file and the OnTime GC Config database has been able to monitor multiple servers. For each server however the task has been limited to one thread. In 4.2.0 the server task that is installed as standard is still limited to one single thread. In the package you will however also find another task that is multithreaded for each server monitored (WindowsXX_Multi). We expect this to reduce the time from a user makes an entry in the personal calendar till this is fully visible in the group calendar. The standard number of threads for this task is 3 but can be configured from the Server Settings documents. Our plan is to make this new task the standard task in the very near future. If you like you can simply replace the existing task with the new task. We have not seen issues with this new task over the last couple of months. Should an issue however occur you can simply replace the new task with the task that was installed as standard. If you have a large number of users we would suggest that you do test this new task.

ONTIME CONFIG

  • In previous versions of the OnTime Group Calendar Mail Cluster support we have relied on a crawler methodology which has proven very reliable. This methodology has the major advantage that it supports both customers running pure on-prem and hybrid IBM mail implementations. However for customers running a pure on-prem IBM Domino implementation, using the existing IBM Domino Cluster directories as a source for information about mail files / paths in each cluster, is often a better and faster solution. We now allow you choose the source from the OnTime Global Settings. For pure on-prem IBM Domino installations, this further has the advantage that the IBM server log, will not contain information about attempts to access mail and other files which the OnTime is not authorised to access.

  • For a room only reservation where the user was Author but not the owner the UI would have an active button for delete. If the user attempted to delete, this would however be blocked by the API.

  • Replica information was updated from the Cluster Directory every day regardless of what was defined in the Global Configuration settings

IMPROVEMENTS

ONTIME WEB CLIENT

  • The main viewer component has received a major overhaul. The new viewer includes a number of new features. Among the most important ones are:
    • Meeting assistant which becomes active once you select a person from the view
    • Photos of both users, meeting rooms and resources are now displayed in the main view. A new application setting "AvatarBorderRadius" allows you to control whether photos should be displayed as squares or circles. This setting takes values between 0 and 50
    • Easier selection of users through the new selection box to the left of the user information
  • The new Meeting Assistant becomes active once you select multiple users. Some of the main features of the Meeting Assistant are:
    • To the right of the people selected you will see a new check box. This check box shows whether this user will be included in the free time search. If you deselect a user more meeting slots are likely to be available. Even if you deselect a person, that person will still be included in the invitation.
    • A bar at the top of the view clearly indicates available slots in green, white indicates available but slot not long enough for the defined meeting length, red indicates that this slot is not available for all the users you included in the search for available meeting slots
  • In name select boxes the information defined in the name format is now included. It can be defined whether it should display 1, 2 or 3 lines of information.
  • The IBM Domino R&R Manager rounds free time lookups to the nearest 5 minutes. Start time is rounded down and end time is rounded up. OnTime now follows the same pattern
  • The calendar entry dialogue box now effectively uses all of the available space in the vertical direction
  • If editing an entry which has been updated by another process such as the Notes client, the user will now be prompted with a conflict warning and will be asked whether to overwrite the change made by the other system.
  • To avoid conflicts when saving edited entries, the client will now refetch data from the back end, before the user is presented with the calendar entry dialogue box. This is controlled by an application setting "CalItemReread". This setting takes the value true or false. This resembles doing a refresh (F9) before opening the entry for editing.
  • Added an application setting which allows the administrator to control the height of the body field on calendar entries in pixels (CalItemBodyHeightExtra)
  • Added more debugging options to trace errors in the client

ONTIME POLLARITY

OnTime Pollarity helps your organisation reduce the time needed to decide upon a common time slot for a meeting. This is achieved by polling the intended participants sending out meeting invitations. OnTime Pollarity is a new add-on in version 5.2 which includes:

  • Ability to manage polls from the OnTime browser interface (if Pollarity enabled in the license key)
  • A new Pollarity database which stores active polls
  • New mobile and external voting pages in the OnTime client database

The former widget was placed in the wide column in the middle whereas the new one only uses up the sidebar.   • Connections Desktop. The Connections Desktop is a modified version of the OnTime Web Desktop which provides a wide format overview of a community

DESIGN CHANGES
  • A completely redesigned left panel bar including icons, titles indicating which group and legend set is shown in the calendar view etc. Additionally, the entire panel can be minimised to allow more room for the calendar view
  • The Business Card has been expanded to show personal calendar and include increased functionality
  • All actions are now managed from the action bar below the top bar, allowing users to easily access all actions
  • The date picker has been made more manageable
  • The calendar view is allowed more space in the interface
  • The row height can be adjusted to allow more or less overlapping dates to show at once
  • When changing the width of the user column, the change is now saved and used in subsequent sessions
OTHER DESKTOP IMPROVEMENTS
  • When creating a meeting invitation, it is now possible to click "Find Free Time" which will provide a list of possible time slots for the meeting.
  • Paging is no longer used in the viewer if a group has more than 200 users (was a configurable value) as standard

  • URL enable fields on Business Cards which leads others directly to important links regarding your information

  • Added a new application setting which controls the "?" help. If it is not set for the user the ? works as in previous versions. If it is added to settings for the user but left as "" blank then the ? is not available for the user. If it set like this "QuestUrl" : "http://www.acmeinc.com" then clicking ? will open a new window with www.acmeinc.com. This setting is new in 5.4.4.

ONTIME BACKEND

 Added the Server Option "Never require credentials to vote" for Web Only servers. This is particularly useful for Pollarity

  • Fixed an issue which would result in a wrong InviteeStatus if the user who had responded was external and had used a Notes client to respond
  • Fixed an issue with opening with users selected in the URL Parameter.
