Improvements

ONTIME DESKTOP
  • The Exchange Permissions for Hybrid users now support "View Schedule Information" in addition to "Create, Edit, and Delete entries" and "Read entry details.
  • When individual mode is selected, the name of the currently selected OnTime user now appears in the horizontal navigation bar. This is useful when the user selection area is not in focus.
ONTIME CONFIG

Bug Fixes

  • Fixed an issue where a single day vacation request initially appeared as two day requests.
  • Fixed an issue where, if user preferences were set to "Last Group" and "-Show all" was selected, the application failed to load all users during startup.
ONTIME CONNECTIONS
  • Fixed an issue where it was not possible to remove a profile image from Connections.
ONTIME CONFIG
  • Fixed an issue where "Reserved For" was not visible in Global Settings when permissions were set to "View Schedule Only."

Your New Go-To for Seamless Event Management

We’re excited to announce the arrival of the Event Hub in OnTime for Domino 11.5.0, a powerful new feature. The Event Hub is designed to simplify the way your organization handles corporate events, national holidays, trade shows, or any other events that you need to broadcast across your users' calendars.

With the Event Hub, you can effortlessly create, broadcast, and maintain events, ensuring that everyone in your organization stays informed and up-to-date. This highly flexible feature adapts to your specific needs, making it an essential tool for managing events in your daily work life.

To help you get started, we’ve included a video that showcases just a few of the many ways your organization can leverage the Event Hub.

Best of all, the Event Hub is included with your existing OnTime Core license, meaning all organizations with current OnTime for Domino maintenance can start using it right away—at no additional cost. If you have not gone Premium but are using the Freemium 2 license then most of the features in the new Event is included there as well.

ONTIME DESKTOP
  • Added new keyboard shortcuts:Alt (Option) + D = Days
    Alt (Option) + W = Weeks
    Ctrl (Command) + P = Print
  • Introduced an icon at the top of the Desktop interface to open the Catering Manager, available to users with the necessary roles.
  • Implemented a limit on email creation to selected OnTime users, restricting the total length of email addresses to 2,048 characters, due to a technical URL limitation.
  • Added a new checkbox to "Check/Uncheck All in Group Only," improving usability when switching between groups while selecting.
ONTIME CATERING DESKTOP
  • Payable Actions Realignment:
    "Payable" Actions: Users can now offer order adjustments (edit) and then save the order, moving it to the Billing status.
    "Non-payable" Actions: Users can now directly move an order to the Cancelled status.
  • Several improvements have been made to the print process. As a result, the "Print Picklist" option has been removed, and its functionality has been reorganized under the new print logic.
  • The participant count is now an editable field. Initially, the default value is set to the number of participants for the meeting, but the user can modify this as needed.
ONTIME CONFIG
  • Added OnTime Events as described above.

Bug Fixes

ONTIME DESKTOP
  • Fixed an issue where users could select groups for search to which they did not have access.
  • Resolved an issue preventing users with edit rights for another user's calendar from deleting a poll in the individual view.
  • Fixed an issue where the "Share My Time" feature did not allow editing of Meeting Types by clicking the pen icon.
  • Resolved an issue where MacOS users could not select dates to vote for in Pollarity when using the Safari browser.
  • The Scheduler now correctly shows a room as unavailable if the room has a "Blocker Date" set from the Room & Resource database.
ONTIME MOBILE
  • Fixed an issue where most icons were unresponsive to user interactions. All icons now function as expected.
  • Resolved an issue where the selected number on the "+" icon was not resetting when switching groups.

  • Fixed Issue with Pollarity Voting: Resolved a problem where users were unable to vote using the Pollarity voting feature in the desktop interface when accessing via the Safari browser on Mac computers.
  • Advanced Search Improvements: In List View, the Advanced Search will no longer return groups that the user does not have access to.

  • Default settings Branding did not work - only Global settings were applied.
  • Error during startup if the previous group no longer existed - Uncaught Type Error.
  • Time Off request could give an error if User or Approver had overlay users, resulting in a circular JSON string.
  • UserPage title did not wrap very long titles, pushing the access icon out of sight.
  • Language switcher for Nederlands was missing an "s".

  • The DesktopSSO (alias WebSSO) page would not load OnTime due to too strict security settings.

  • Reading ACL for TeamCalendars was not processed correctly during the run of admin tasks.

ONTIME DESKTOP

A walk towards Compliance with "The European Accessibility Act 2025": This release marks our first step towards compliance with EU Directive 2019/882, with a focus on accessibility features. Stay tuned for further enhancements as we work towards full compliance by June 2025. The new features will hopefully benefit all users. Some of the new features in this version are:

  • Revamped UI Experience: Experience a complete overhaul of the desktop interface with significant enhancements to nearly all front-end components, delivering a sleek and intuitive user experience.
  • Robust keyboard navigation with an extensive shortcut library and improved screen reader compatibility.
  • Exposed numerous settings to minimize the number of clicks required for each operation, enhancing efficiency and productivity.
  • Enhanced Group Panel Functionality: Explore new options in the group panel, including search functionality and the ability to assign alias names to groups in "My Groups," offering greater flexibility in group management.
  • Default settings: User in top is no longer an option.
  • For Share My Time, added a new repeat pattern that only repeats on weekdays. This prevents meetings on weekends from being available if not wanted.
  • Implemented Content Security Policy (CSP) by adding HTML header meta to the OnTime pages.
  • It is now possible for invitees to modify the subject for meetings.
  • It is now possible to disable the option "Use Endlessly" for all users for links for "Share My Time".
  • Share My Time now has a Name field. This Name value is an internal name used to manage the different Share My Time links.
  • The "Some invitees use other mail programs" option can now be locked to "On".

  • Implemented Content Security Policy (CSP) by adding HTML header meta to the OnTime pages.

  • A repeated meeting with an Online Meeting (Zoom, Teams, or Domino) was not displayed in the repeat row.
  • Changing alarm settings for a meeting in OnTime did not update the meeting in Notes. There was no issue when creating the alarm initially.
  • Fixed an issue where clicking "Open in Notes" had no effect.
  • Fixed an issue where for "List" view it was not possible to use the keyboard to change the date interval.
ONTIME CONFIGURATION
  • Custom 1, 2, 3 was missing for resources in name format.
  • Missing Login Method on External server document.
ONTIME ADMIN PROCESS
  • Fixed an issue where ACL information for Team Calendars was not read correctly (A Team Calendar was handled as a Room/Resource).

ONTIME DESKTOP
  •  An advanced date picker that displays your appointments but also visually represents your availability over a longer period has been added.
  • Added warning for Share My Time if no time slots are added and availability is either based on Time Slots or Custom.
  • The Time Off Feature "Out of Office" has been renamed to "Time Off" Instead of "Out of Office" We realised that the term "Out of Office" caused confusion rather than clarity. Therefore, we have renamed it. Moreover, we have made significant improvements, such as adding support for time zones when creating a time off request. Additionally, we have rewritten all messages for requesters and approvers, including more detailed information to streamline the process.
  • For Share My Time meeting requests that gets declined detailed information about the requested meeting has been added.
  • For Time Off requests the requester now adds the "Message for the Approver" before submitting the request.
  • Share My Time Link page has been reorganised and the language has received an overhaul. Use "Endlessly" is now default.
  • Share My Time meeting types now includes start of description when selecting which types will be available for the link.
  • Share My Time now allows the user to set preferences: Availability - Bookable time - Buffer before events - Buffer after events - Snap to nearest Process for received requests - Accept -Use
  • Share My Time now allows you to add co-hosts to your meetings. When you add one or more co-hosts to a meeting link, the available time slots will be based on the combined availability of all hosts. This feature is especially useful when you e.g., want to enable a customer to book a meeting with their client team.
  • Share My Time now has an option to save your preferences for availability under settings.
  • Invitee Status for Team Calendar events are not presented as in events from regular OnTime users.
  • New Send Message actions has been added to the event page. It allows users to send a message to All Invitees, Invitees who have responded or Invitees who have not responded.
  • OnTime Logout now uses POST and not GET with logout.
  • Pollarity Pin Code is now displayed in uppercase letters.
  • To further increase security Mail Login now requires a Pin Code which is mailed to the user during login.
  • Zoom online meeting can now be added to repeated meetings in OnTime.
ONTIME MOBILE
  • To further increase security Mail Login now requires a Pin Code which is mailed to the user during login.
  • It is now possible to accept / decline invitations from the mobile.
ONTIME CONFIG
  • Added support of Client Credentials using OAuth for MS Exchange users.
  • After changing a Role name an hourglass now indicates that an update is needed.
  • In Web settings a new "Mail Login Sender Address" has been added. This allows individual organisations to define a mail sender address for logins to match corporate standards.
  • Specify the URL of the physical OnTime server. As an example, in a multi-server setup the Server URL could be "https://tok001.example.com" and Links URL "https://ontime.example.com".
  • Under server Settings, all file paths are now visible, and all databases will be created regardless of whether the environment is licensed for all add-ons. This makes maintaining and adding additional add-ons significantly easier.
  • When Log Level has been set to 'Info Only' there will now be less events logged in the OnTime log database.
ONTIME INSTALLER
  • During installation using the Installer Database all databases are now created regardless of whether the environment is licensed for all add-ons. This makes maintaining and adding additional add-ons significantly easier.
  • During upgrade using the Installer Database all OnTime databases that are missing / not previously created, will now be created regardless of whether the environment is licensed for all add-ons. This makes maintaining and adding additional add-ons significantly easier.
  • During upgrade using the Installer Database the Exchange servlet will be upgraded if an Exchange environment has been configured in an Exchange document in the Config database.
  • Every time an Install / upgrade runs, it updates the version.txt file in the ontime directory which allows other processes to control versions to be copied to the install directory.
  • The default access level has been changed to "No Access" to avoid regular users accidently running the install process.
  • The Installer database now has a graphical interface that will guide the OnTime administrator through the process.
ONTIME MAIN SERVLET
  • Added support of Client Credentials using OAuth for MS Exchange users.
  • Cleanup of the OnTime Temp Dir(.apitemp) to prevent failing when attaching a file or inline image in the body of an event which has not been submitted yet.
  • If Global photo and source = "URL", the URL is now valid when it contained spaces.
  • Time Off recreation of missing entries in mail files is now aligned with the full sync back period and not just to current time.
ONTIME EXCHANGE SERVLET
  • Added support of Client Credentials using OAuth for MS Exchange users.
  • Pollarity placeholder entries are now created for Exchange users. Previously the were only created for Domino users.

  • Change to the List View did not update according to selected/unselected legends.
  • Fixed an issue for Zoom meetings where the join URL was incorrectly using the start URL for the host if the receiver of the invitation was a Domino mail user.
  • Fixed an issue that would occur if printing all in members in a group where the use was not a member.
  • Fixed an issue where the community icon for Connections was missing from the left rail.
  • Remove "Open in iNotes" for Microsoft Exchange users in Hybrid.
  • Share My Time offers the use to add an online meeting ever if the user does not have an online meeting provider configured.
  • Fixed an issue where creating a Share My Time link failed if OnTime was opened from a "http" link instead of the recommended "https".

  • Fixed an issue where advanced Name format Configuration for Rooms would show an empty list.
  • Fixed an issue where for global settings Photo, source = "URL" it was not possible to remove the password if it was no longer used.
  • The ACL section is no longer visible for rooms from Exchange.
ONTIME MAIN SERVLET
  • Fixed an issue where granting ACL Access using */UO/O was not working while */O did.
  • Fixed cleanup of obsolete Votes and chat streams for Pollarity.

Important:

Version 11.0.9 marks the conclusion of a series of security enhancements introduced in versions 11.0.7, 11.0.8, and 11.0.8a of OnTime Group Calendar. We remain dedicated to addressing any security-related concerns and urge all OnTime customers to upgrade to version 11.0.9 for optimal security.
ONTIME CONFIG
  • New option for Token Timeout. In previous versions of OnTime it has been possible to define an "OnTime Token Timeout" in the server documents. This is the interval after which the token expires unless renewed. The token was automatically renewed whenever the user updated data in OnTime from the server. In consequence the token could live forever if renewed within the defined interval. This method still exists and is referred to as "Rolling" token timeout. In version 11.0.9 a new method referred to as "Hard" token time out has been introduced. It is now possible to define a time period after which the user will have to login again with credentials to obtain a new token.
  • For mail login it is now possible to define a "Mail Login Sender Address" in the server documents. Your organisation can choose to use a different value than "OnTime Group Calendar" to make the mail less generic and more trustworthy for the users with your organisation.

  • In hybrid environments, if a creator of an entry switches from creating the entry for a Domino user to an Exchange user the meeting type is now correctly forced to be of type meeting.
  • In hybrid environments, if a Notes user that had Default Entry Type set as "Appointment", tried to create an entry for an exchange user it would result in a failure situation.
ONTIME MAIN SERVLET
  • Fixed a situation where the external interface for Share MyTime would not work correctly on Japanese android devices.

  • Fixed an issue in Share My Time where an issue would occur if the the user clicked "X" on the dialogue instead of selecting an online meeting and clicking OK.
  • Fixed an issue where dates in nthe header were missing in the OoO view based on Zoom factor.
  • For Share My Time the "Update" menu button was not translated for User Defined timeslots.
  • Share My Time external response page now correctly detects japanese as language.
ONTIME MAIN SERVLET
  • Fixed an issue where changing a room only reservation was never accepted by RnRMgr.
  • Fixed an issue where updateing the timezone for working hours from OnTime resulted in unpredictable results.
  • For Share My Time the link that was sent to the link owner as a notification of a request in some cases pointed to an external server instead of the mail server.
ONTIME CONFIG
  • Server Settings External still had the "Launch in Notes" setting, this has now been removed.
ONTIME INSTALLER
  • The ShareMyTime database is now created during an install using the installer. Previously it was only created in the upgrade proces.

Improvements

SHARE MY TIME- FOR ALL REGISTRED ONTIME USERS

Share My Time is included in the licenses for all registered OnTime Group users and therefore you can start using it right after upgrading to version 11 og OnTime group calendar.

Share My Time allows users to grant external parties access to your calendar, allowing them to view your availability and schedule meetings with you without having to see your actual schedule. Eliminating the need for endless back-and-forth emails when trying to find a suitable meeting time.

Step 1: customise and distribute the link

  •  Tailor your link to suit your preferences. Set parameters such as minimum lead time or rolling days.
  •  Distribute the link through your website, direct messages, email footer, and more—the possibilities are limitless

Step 2: Recipient chooses a time 

  • The recipient of the link can then view your availability and select their preferred meeting time from the options you have provided.

Step 3: Meeting confirmed

  • You have the flexibility to customise your booking link to accept bookings either manually or automatically.
  • Once you accept the meeting is confirmed, and your recipient receives a confirmation email to ensure a seamless experience for all parties involved.

ONTIME DESKTOP
  • Domino Standard login has been added as login method in addition to the OnTime methods already in existence.
  • Added new visible for feature to allow the admin to control which users will have "Pollarity" and "Share My Time" available in their user interface.
  • A new feature allows you to copy the attendees’ emails from a meeting and create an email for them. This feature is found under "Copy to new" and then select Email w. Attendees.
  • Added new visible for feature to allow the admin to control which users will have "Pollarity" and "Share My Time" available in their user interface.
  • Improved the filter for time zone selection. Example search for Europe, and it will provide a list of all time zones in Europe.
  • MS Teams meetings can now be added to repeated meetings.
  • New global shortcut "Alt + T" will bring current date in focus.
  • New Submenu on the gear icon in the upper right corner includes Settings, Logout and About.
  • OnTime Verse integration has been updated to use Verse release 3 colours.
  • The indicator for number of photos available in the Detail Viewer now only shows a number if more than one photo is available.
  • The legend area now has wide colour bars which makes it easier to compare with the colours in the viewer.
  • The MS Teams meeting details have been added to the body / description field for the host / chair.
  • Internet Explorer (IE) 11 desktop application ended support for newer operating systems on June 15, 2022. In response we have removed support for IE 11 in OnTime Group Calendar. As the internal browser in Notes is based on COM objects that requires IE11 the inside Notes experience for OnTime is no longer supported. If you click on the OnTime icon in Notes it will now launch OnTime in a regular browser.
  1. The left navigation area has been uncluttered by a major redesign and the left navigation rail has been redesigned. Now when selecting for example groups, you have a much larger area to display and focus on your work with the groups. Additionally, we've introduced a new multi-date picker that enables you to effortlessly view your calendar several months ahead as well as a "today" button that takes you back to the current date, no matter where you are in the calendar.
  2. We have simplified and updated the overall design and made it possible to zoom in on days, making it easier to focus on today's tasks.

New 12 month calendar makes navigating event easier.

Branding makes it possible to control the background, text and border colour of the top navigation bar and further allows you to add a custom logo. You can control this for internal use which covers the Desktop client and for the external facing clients Pollarity and Share My Time. For the external facing client you can also add up to five links for the users from the branding area. Branding can either be controlled from "Global Settings" at the organisational level or from each configuration of "Default Settings".

ONTIME POLLARITY
  • New Pin code option for Pollarity allow the organisation or the individual user to require that a pin code is added to the individual poll. This pin code is controlled from global settings. Without this pin code for the poll, external users will not be able to vote.
  • Internet Explorer (IE) 11 desktop application ended support for newer operating systems on June 15, 2022. In response we have removed support for IE 11 in OnTime Group Calendar.
ONTIME MOBILE
